District Credentials and Proxies

 

Important Facts to know about District Credentials and Proxies

 1.     Every club in good standing has 2 votes at the Annual Business meeting on May 2nd. Clubs in good standing have at least 8 members and paid dues for October 2014 to March 2015.

 

2.     Voting members of a club are: the President and Vice President of Education from each club. These individuals do not need to bring a proxy form to the Credentials Desk.

 

3.     If the President and VP of Education can’t attend the business meeting: Either the President or VP of Education can fill out proxy form, sign it, and designate a member of the club to carry the club’s 2 votes. Person designated must be a member of the club. The Area Governor or Division Governor can’t carry the club votes unless they are a member of that club. To be able to vote, the designated member must bring a signed proxy form to Credentials Desk.

 

4.     Persons holding these district offices carry one vote each: District Governor, Lieutenant Governor of Education & Training, Lieutenant Governor of Marketing, District PRO, District Secretary, District Treasurer, Division Governor, Area Governor, Immediate Past District Governor.

 

5.     Maximum number of votes a member can carry:

  1. A Toastmaster member who is not a District Officer (does not hold office of District Governor, Lieutenant Governor of Education & Training, Lieutenant Governor of Marketing, District PRO, District Secretary, District Treasurer, Division Governor, Area Governor, Immediate Past District Governor) can carry at most 2 votes.
  2. A District Officer can carry a maximum of 3 votes: 1 for their office and 2 club votes.

 

6.     Credentials Desk must be visited by every voting delegate prior to the start of the business meeting on May 2, 2015. Credentials Desk will close 30 minutes before the business meeting to finalize the credentials report. Even members that do not need to bring a proxy, must stop at the Credentials Desk to sign their name and obtain their official ballots.

 

7.     A quorum must be reached in order for District business to be conducted during the Annual Business meeting on May 2, 2015. A quorum is one-third of the District’s club Presidents and VPs of Education or their proxies.

 

8.     What is voted on during the Annual Business meeting?

  1. The election of 2015-2016 District Leaders (District Governor, Lieutenant Governor of Education & Training, Lieutenant Governor of Marketing, and the 10 Division Governor positions) See list of nominees here.
  2. The approval of the alignment of District 6 clubs into Divisions and Areas for 2015-2016.
  3. Any other District business that requires approval by the District Council.
